Clinic Receptionist - Clinic
Full time Clinic Receptionist

SUMMARY:
Receptionists are responsible for scheduling/rescheduling/cancelling and confirming appointments. They are also responsible for checking patients in and out, as well as ensuring necessary forms are completed, signed and scanned to patient charts. They verify that information in patient electronic medical records (EMR) is updated and complete. Receptionists are also responsible for taking payments, reporting cash drawer in and out amounts and reporting daily collections. Receptionists answer and triage calls, verify insurance eligibility and are the main line of communication between patients and the clinic.

QUALIFICATIONS:
• Maintain discretion and confidentiality in communications.
• Knowledgeable about policies and procedures regarding reporting and release of protected health information in accordance with HIPAA.
• Competent in skills and use of office equipment and electronic medical record systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Responsible for maintaining all information confidentially in accordance with HIPAA (Health Insurance Portability and Accountability Act) guidelines.
· Operate current office equipment and ensure all equipment in the registration area is operating in an acceptable manner; assess the status of equipment malfunctions; resolve and, when appropriate, report any unresolved problems appropriately.
· Perform variety of duties pertaining to patient appointments; ascertain patient's need for routine appointments and schedule appointments according to need or under direction of medical staff; refer to medical staff as appropriate; complete appointment process; enter/update pertinent patient appointment and registration data in computer.
· Acknowledge patients and family members presenting to the registration area promptly and in a professional manner.
· Document appropriate logs pertaining to the registration area regarding patient name, address, phone number and insurance provider.
· Register all patients according to policies and procedures established.
· Obtain signatures of patient and/or guarantor for all required forms.
· Verify patients' insurance eligibility; capture appropriate guarantor and coverage information as appropriate; provide accurate information to enable accurate collection of funds.
· Provide properly completed Good Faith Estimate to out-of-network and self-pay patients.
· Effectively communicate with the patients regarding the eligibility/benefits/estimated patient portion upon insurance verification.
· Thoroughly document the encounter upon registration as well as collection efforts taken.
· Serve as clerical resource and contact person to staff as appropriate.
· Collaborate with team to ascertain and coordinate team and individual concerns and issues; collaborate and assist with team and administrator/manager as appropriate to design, plan, coordinate, and implement process improvements; identify and resolve issues around improvement as appropriate; recommend ideas and suggestions to improve operation of area.
· Receive incoming and intra-office calls; ascertain need; direct calls to proper individual or location; take messages.
· Provide limited non-confidential information.
· Resolve basic problems; assist with difficult problems when necessary; refer to administrator/manager after all appropriate alternatives are exhausted.
· Notify administrator/manager of process problems/issues that need attention; assist with patient complaints; collaborate with administrator/manager to develop operational strategies.
· Miscellaneous duties as assigned requested or required.

EDUCATION/CERTIFICATIONS:
• High school diploma or equivalent

LANGUAGE/READING SKILLS:
• Communicate clearly and effectively verbally and in writing in English.
• Communicate clearly and effectively verbally and in writing in Spanish.

MATHEMATICAL SKILLS:
• Competent in basic math skills required for patient payment transactions and daily cash in/out counts.

REASONING ABILITY:
• Respond to unusual or varied situations that are not covered by existing standards, procedures and precedents.

WORK ENVIRONMENT:
• Regularly required to stand, walk and sit.
• Regularly required to reach with hands and arms.
• Regularly required to perform repetitive data entry.
• Regularly required to view computer monitors.
• Frequently be able to lift 25 pounds from the floor to waist level.
